refEarly is a software-as-a-service (“SaaS”) platform operated by Refearly Ltd, a company registered in England and Wales (Company No. 17150584). Our platform provides AI-assisted tools to help NHS clinicians draft referral letters more efficiently.
By creating an account and using refEarly, you agree to be bound by these Terms and Conditions (“Terms”). Please read them carefully. If you do not agree with these Terms, do not use our services.
refEarly is a drafting assistance tool. It is not a medical device and does not provide clinical advice, diagnoses, or treatment recommendations.
All content generated by refEarly's AI tools is a draft only. It must be reviewed, edited, and approved by a suitably qualified clinician before use. You are solely responsible for the clinical accuracy, appropriateness, and completeness of any referral letter you submit, regardless of whether it was drafted with the assistance of our platform.
refEarly does not replace clinical judgement. Nothing produced by our platform should be construed as professional medical or clinical advice.
Subject to your subscription being active and in good standing, refEarly grants you a personal, non-transferable, non-exclusive licence to access and use the platform for your professional clinical practice within the United Kingdom.

We reserve the right to suspend or terminate accounts that breach these Terms, without notice where the breach is serious.
Access to refEarly requires a paid subscription. Subscriptions are billed on a monthly or annual basis as selected at checkout, and renew automatically at the end of each billing period unless cancelled.
Payments are processed securely by Stripe. We do not store your card details. By subscribing, you authorise us to charge the applicable subscription fee to your payment method at each renewal date.
Cancellation
You may cancel your subscription at any time from your account dashboard. Cancellation takes effect at the end of your current billing period. You will retain access to the platform until that date and will not be charged again.
14-Day Cooling-Off Period
If you are a consumer (i.e. not purchasing in a business capacity), you have the right to cancel your subscription within 14 days of purchase without giving any reason, in accordance with the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. To exercise this right, contact us at hello@refearly.co.uk within 14 days of your initial purchase. Please note that if you have already used the service within the cooling-off period, we reserve the right to deduct a proportionate charge for the services already provided before processing your refund.
No Refunds Outside the Cooling-Off Period
Subscription fees are non-refundable outside of the statutory 14-day cooling-off period, except where we have materially failed to provide the service as described.
You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. Please notify us immediately at hello@refearly.co.uk if you suspect unauthorised access to your account.
You must provide accurate, current, and complete information when registering for an account and keep your details up to date.
All intellectual property rights in the refEarly platform — including its software, design, branding, and underlying technology — are owned by or licensed to Refearly Ltd. Nothing in these Terms transfers any such rights to you.
The content you input into the platform remains yours. By using our AI tools, you grant us a limited licence to process that content solely for the purpose of providing the service to you, as described in our Privacy Policy.
Our platform uses third-party large language model (LLM) providers to generate referral letter drafts. The quality, accuracy, and appropriateness of AI-generated content can vary. You must exercise independent professional judgement when reviewing any AI output before use.
We do not represent or warrant that AI-generated output will be clinically accurate, complete, or appropriate for any given patient or situation. The use of AI-generated content in clinical practice is your professional responsibility.
To the fullest extent permitted by law, Refearly Ltd shall not be liable for any loss or damage arising from:
Our total aggregate liability to you for any claim arising under or in connection with these Terms shall not exceed the total subscription fees paid by you in the 12 months preceding the claim.
Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by English law.
These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
We may update these Terms from time to time. We will notify registered users of any material changes by email and will update the “Last updated” date at the top of this page. Your continued use of the platform after notification constitutes acceptance of the updated Terms.
